Minutes of the street reps meeting at Off Beat Coffee, 10th September 2009

Welcome:
6.15 - Sharon Thomas welcomed those present.
Apologies:
Lynn Avery, Geoff Ellis.
Correspondence and meetings
  • Gardner Street Party – August 31st. Donna was asked to congratulate those involved for the excellent party that was very well attended and received good publicity.
  • B.I.D. agm – 1st September – Sharon and Pat attended and we had a discussion on the agm and the damage caused to the catienary wire for the Christmas lights in Sydney Street by a City Clean vehicle. Sharon to forward traders letters.
  • City in Bloom – Donna attended the award ceremony on 3rd September and awarded the NL cup to the Dorset Bar. Donna to continue to liaise.
  • City College – Peter attended the strategic plan launch earlier on the 10th September and will arrange for Colin to meet with CCBH Principle to discuss usage of Komedia by students.
  • Green Party – election launch 10th September.
  • Food & Drink Festival – New Road/Jubilee, 12th and 13th September.
  • Heritage Day – tours of the city and NL – Sunday 13th September.
  • Car Free Day – various venues around city 20th September.
  • Chapel Royal – North Laine survey – Peter to liaise.
Treasurers report
David Hall reported that we currently had 100 members and £4,380 in the account. (£3,325 from 2009 receipts). Commitments included £500 outstanding from website revamp and the NL map, printing and artwork bills.( estimated £1250 ). We discussed signatories for the account and David Sewell moved that we drop to one signature when Peter finishes at the end of September. Those present agreed.
North Laine Map
Sharon Thomas reported that the 25,000 maps are now finished and ready for distribution. Those present thought the map, designed by local artist, Fred Pipes worked very well and would be a good marketing aid for North Laine. We had a discussion re distribution and Peter will start deliveries from the 15th September. We aim to cover all members, TIC’s, Brighton Centre, NCP, Friends centre, City College, Business Forum and some seafront hotels. Peter will need help to distribute so he asked for a budget of £50 per day for two days to complete the task. All present agreed. Peter thanked Sharon for project managing the Maps and achieving such a good result. Peter to contact the Argus.
NL map launch
Sharon Thomas distributed copies of the proposed NL map to those present and explained that our designer had not completed the information listing on the reverse side. The map was welcomed and the design complemented. Those present asked for some additions such as public toilets, cash points and indications of direction of the A23 and the Pier. Peter to get additional quote from another printer and Sharon to use the most cost effective way of producing 25,000. Tourist information has agreed to help distribute the maps. Total cost of design and production should come in under £1500.
North Laine Website
Brian has sent street reps attachments showing the new website. All present thought it looked very good and would be very easy for traders and visitors to navigate. It has been a large task for him with over 3,000 pages of content involved and he aims to finish and launch the site ahead of schedule in October. Total cost will be £1500 and Sharon suggested a small bonus for the excellent work. (see AOB ). Peter to liaise with Brian on the coordinator changeover and creating new dedicated e-mail addresses for NLTA officers. Sharon has now set up a Facebook page for NLTA. Steve told us how well his “Dirty Harry” site is working and how easy it is to send out details of events and special offers.
Rent Register
Peter has asked Geoff Ellis to hold the current information. Geoff is happy to do so but will need help in visiting premises for new traders/information. Eddie suggested that a lot of information is available online through Business rate/valuation sites.
Shopping & Eating Guide
We had a discussion about whether to advertise in the 2010 guide. Now we have the map it was decided that Sharon would discuss just using the website information in a smaller format if that is possible but not to take the double size ad.
Any Other Business
  • NCP – Everyone thought the scheme worked well and asked Peter to contact Lesley to see if we can start a similar scheme soon.
  • Southern Water – they need to do a small amount of finishing work in Kensington Gardens and have suggested working 8am until 11am for approx a week in February 2010. Peter to leaflet traders in advance – Southern to follow up nearer time.
  • Pavilion Gardens – David Sewell told us that weather permitting Pavilion Gardens would be re seeded from the 28th September and some areas would be restricted.
  • Twinning – Pat asked why Brighton did not appear to be twinned with another city?
  • Brian Pedley – Brian is getting married on 2nd October and Peter suggested that we send a gift to reflect all his efforts on our website and his general support to the NLTA. Those present agreed and with Sharons earlier thoughts on delivering our new website ahead of time it was agreed to send a gift voucher for £100.
  • Peter Stocker – Sharon thanked Peter for all his work with the association over the past 20 years. Peter will help Donna and David to take over the coordinator roles in the next couple of weeks but pointed out that he is only ever an e-mail or phone call away after that time if they want to chat. Peter thanked those present and especially Sharon for the help and support they had given him over the years.
The meeting ended at 7.45 with Sharon thanking everyone for attending.
